How to Request Videos

You can collect videos in a variety of ways:

  • Video requests: individual emails and reminders managed by Vocal Video
  • Email lists: bulk emails and reminders managed by Vocal Video
  • Public link: share the Collector through your own email or social channels
  • Integrations: automate video requests.
  • QR codes

Video Requests

You can send emails with your branding directly from Vocal Video from the Collector Builder.


Go to Responses> Send a video request

  1. Enter the recipient’s first name, last name, and email address (this will also prefill the information on the Attribution page of the video collector)
  2. Review the auto-generated First Ask and Reminder email messages.
    • Edit the subject line, message body, and button text as needed.  
    • Click on Edit email template to edit the “Learn More” section and make other advanced changes.

Vocal Video will automatically send:

  • An initial email (Invitation)
  • A follow-up reminder email 7 days later (unless the recipient responds)

Note: You can toggle off the reminder but we find that sending a reminder will improve your response rates.

View Sent Requests

  1. Go to Requests in the left-side menu to view all video requests sent through Vocal Video

Edit the Email Template

You can customize the invitation and reminder email templates used in your video requests using Edit Email Template from:

    • The message review screen in Send a Video Request

Or

    • Go to Settings > Email Templates

Video Request Templates: First Ask

  1. From here you can edit
    • From name
    • Subject line
    • Message (supports variables)
    • Button text (e.g. “Share Your Story”)
    • Design settings (logo, spokesperson display, alignment)
    • Learn More box (custom heading and content)
    • Footer (Powered by, Unsubscribe)

Note: Design, Learn More, and Footer settings apply to both the First Ask and Reminder emails.


Video Request Templates: Reminder

  • In the same Video Request Templates section, select the Reminder tab.
  • Edit the following:
    • From name
    • Subject line
    • Message
    • Button text

Upload an Email List

Send multiple requests at once by uploading a CSV file.

Before you begin - Your CSV file should include:

  • Email (required)
  • First Name (recommended)
  • Last Name (recommended)

Note: Make sure the first row contains column headers. You will have an opportunity to check that each column will be mapped to the correct field in Vocal Video.

Upload and send

  1. Go to Send Video Requests to a List
  2. Upload your CSV file and match columns to the appropriate fields.
  3. Preview and customize your email messages (see section above for more information)
  4. Set your delivery schedule.
  5. Click Save to confirm that you want to send the emails.

Automate Video Requests with An Integration

Use integrations to automatically send video requests based on actions in your CRM, marketing platform, or other connected tools. Get the detailed guide to integrations here.

Get a Link to Share

You can share your collector manually by sending a link:

  • Standard link: Copy and paste to share via email, SMS, website, or social media.


  • Personalized link: Generate a personalized link for one respondent. This will prefill respondent details on the Attribution page.


  • CRM/Marketing automation link: Generate links that work with your marketing or CRM platforms. This will also prefill respondent details on the Attribution page.

Get a QR Code

Use a QR code to make your video collector easily accessible from printed material at offices or in-person events.


To generate a QR code:

  1. Go to your collector and select Responses.
  2. Click Get QR Code.
